Set up a new clinic from first login to first test receipt.

Follow this guide with the clinic owner or manager. It keeps setup focused on the real workflows staff will use on day one.

Client intake, working details, payments, receipts, prepaid packages, cashier reports, and wage reports are ready to test.

Practitioners can create SOAP notes with body-area maps, techniques, PDF export, and optional AI assisted note drafts.

One location included

The first location is included in the base setup. Additional locations can be added when the subscription includes them.

Step 1Security and files
Create a Cloudflare account for documents and login protection
Cloudflare stores uploaded clinic documents and protects the login page from automated abuse.

  1. 1Create or sign in to your Cloudflare account.
  2. 2If you want setup help, add your setup partner as a Cloudflare administrator using the email they provide separately.
  3. 3Open R2 and create one private bucket for this clinic. A simple name like your-clinic-backoffice works well.
  4. 4Create a storage access key for that bucket. Share the bucket name and keys only through your secure setup handoff.
  5. 5Open Turnstile and create a login protection widget for your app website address.
  6. 6Share the Turnstile site key and secret key through the same secure setup handoff.
  7. 7After launch, upload one test document from a client profile to confirm file storage works.

Confirm the blank clinic app is ready for first login
Your setup partner prepares the app, then gives you the website link and temporary admin login.

Step 3Owner access
Log in as admin and change the temporary password
The first admin must create a permanent password before managing clinic settings.

Step 4Clinic identity
Update the included location details
The location appears on receipts, reports, cashier login, and daily clinic filters.

Step 5Clinic setup
Review services, payment methods, and insurance companies
The app starts with common clinic options. Review them before staff begin entering appointments.

Step 6Practitioners
Add at least one practitioner
Practitioners need their own login so receipts, SOAP notes, and wage calculations show the right provider.

Cashiers can handle intake, working details, receipts, prepaid packages, and daily reports without full admin access.

A second admin prevents lockout. Accountant access keeps financial review separate from full clinic control.

Step 9First test
Add a test client and complete one working-detail workflow
This confirms the day-to-day workflow before real client information is entered.

Train staff in this order: clients, working details, receipts, prepaid packages, daily reports, then SOAP notes. This matches the normal front-desk day.

Safe access

Use separate accounts for admin, cashier, practitioner, and accountant work. Do not share the same login across staff.

Upgrade path

Extra locations, AI assisted notes, data import, branded receipt setup, and staff training are natural paid add-ons after the base clinic is live.
